Duquette Pines Homeowners Association Board Meeting

Jeffes’ Residence 8:30 a.m.

November 3, 2012

 

Attendees:  Brent Adamson, Dee Woodstrom, Lynn Murdoch, Wendy Jeffes, Michelle Savoie Garcia, Neale and Barbara Gardner  

 

Minutes:  

·       October minutes were approved as presented.

 

Financials: 

·       Michelle reported on the month’s financials.  Checks were signed. 

·       Michelle started the small claims process and is completing the paperwork to proceed as scheduled. Each filing will cost approximately $43.00.  The newsletter article regarding the pending small claims process prompted one homeowner to contact her about a payment.  Michelle will make phone calls to each person affected. 

New Business:

·       A violation letter will be sent to a homeowner who has not completed the exterior siding of his home.

·       Road contract – Upon review of the contract, there were several discussion points.  Items will be reviewed with Property Manager Jon Long to follow up. 

ü  Gardners requested that the subdivision place tall (10 ft.) markers on items such as utility boxes, culvert heads, street signs, etc. to increase visibility. They requested a “walk-through” of the subdivision with their operators to identify items of concern. 

ü  They addressed culvert installation by homeowners which affects road drainage, and then pointed out culverts in the subdivision that should be replaced because of their location, condition, etc.

ü  Also of concern are phone lines installed in the ditch bank.  

ü  Response time was also discussed with regard to instances that the Gardners are in the midst of plowing other subdivisions.  In these circumstances, they will respond as quickly as they can. 

ü  Personnel/equipment issues were discussed as well.  A couple of their operators recently had surgery.  Neale will be the primary operator for our subdivision. 

ü  He requested that we leave the first snow on the roads because the mag chloride influences freezing conditions, and driving over it will help this condition.  Once the road freezes, there are fewer problems with road damage.

ü  Homeowners complaints and how to handle them was addressed.  The Board advised the Gardners to maintain the road according to their discretion, taking into consideration homeowner landscaping or obstacles within easement requirements. 

The next board meeting will be held on Saturday, December 1, 2012, 8:30 a.m. at the Jeffes’ residence, 248 Meadow.
