Duquette Pines Homeowners Association Board Meeting

Jeffes’ Residence, 8:30 a.m.

May 4, 2013

 

 

Attendees:  Brent Adamson, Art Burget, Lynn Murdoch, Wendy Jeffes, Jon Long

 

Minutes:

·       Minutes were approved from April 2013 as presented.

 

Financials:

·       Michelle was unable to attend the meeting, so financials were unavailable.

Manager’s Report:

·       Grading was done in the subdivision.

·       Jon did some brush removal on Rosebush.

·       A discussion ensued about the apparent widening of our roads during grading, plowing, etc. in some locations.  This potentially causes increased costs due to need for more materials, labor, etc.  Jon and Brent will discuss this concern with Gardners.  

·       Moved Burget and seconded Murdoch to accept Gardner’s estimate for the work to be done on Skyline.  Motion carried.  If work cannot be completed within the estimated amount, approval will need to be secured for additional costs. 

·       There was a discussion about select sections of the road needing improvement as part of the Board’s ongoing plan to systematically make improvements as the budget allows. Jon will secure bids on the proposed work. 

·       Construction on Lantern Way is commencing.  Jon will talk to homeowner about intentions to proceed according to plans which were approved some time ago.

·       Noxious weed spray will be available free-of-charge to interested homeowners on 5/31 and 6/1 at the Boise County Road Shop.  It is also available at the County Solid Waste Facility (the Dump) on 6/8, 6/15, and 6/22 if product is still available. 

 

New Business:

·       There was a discussion about doing dust abatement this year and how that fits into the subdivision maintenance budget.  The Board will get a bid for application of a) the entire subdivision, b) a narrower application on the entire subdivision, and c) only the Meadow loop. 

·       There was a discussion about the upcoming Annual Meeting and how to efficiently and effectively conduct the meeting. 

·       Motion Adamson, seconded Burget to change the Association’s billing so that late fees are assessed quarterly rather than annually as of July 1, 2013.  Motion carried. As in the past, there will still be an annual bill sent to each homeowner; however, there will now be an expectation that ¼ of the amount due is payable each quarter or a late fee will be assessed at that time.  Notification will be reflected on the billing.   

 

This action will not be a change in the homeowner’s billing, but will rather facilitate the Board’s ability to more accurately make budgeting and financial decisions on behalf of the subdivision’s homeowners. 

 

Announcements:

·       A reminder that the annual meeting will be held at Robison Community Center this year (not the Senior Center) on Friday, May 24, 2013 at 7:00 p.m. 

·       There will be no June Board meeting.

·       The annual subdivision clean-up will be held on Saturday, June 1.  We would appreciate volunteers to assist in this effort.  Please contact any Board member or Jon Long. 

·       There will be two open Board positions.  Please contact any Board member for information about serving on the Board or to present a nomination.
